Sweet Construct are growing, and to drive that growth we’re hiring a hiring an Administrator to work in the Preconstruction/Commercial team at the Flax Bourton office.

The role 

You will provide daily administrative support to a busy, motivated and dynamic team.  In your role you will directly support the Procurement Manager and Commercial Manager carrying out all manner of tasks such as raising Purchase Orders, prepping for meetings and circulating current documentation. 

Timing is key, you will be using your skills to administer the PQQ process, making sure all documents which are submitted by the supply chain companies are processed within the given timeframes as well as timely and efficient delivery for all tasks and projects which you are involved in.  This role doesn’t just require you to prepare meetings and look over documents, you need to be able to identify and communicate your ideas for improvements, challenge process flows and innovate towards an even more streamlined office. 

You will be responsible for general office duties - printing, scanning, photocopying, filing, arranging professional printing when necessary, taking minutes, following up on action points and be our integral gatekeeper to screen and escalate both critical and non-critical issues.  You will be using your experience and judgement in assisting with key events for your department – from managing invitations to giving your support in the running of the events themselves.  In short, you will be a dedicated and proactive member of our team, constantly challenging and improving the way we do things, providing solutions and helping to ensure that the team reaches its’ full potential.

Who you’ll be? 

You’ll have previous experience of working as a PA or administrator in a fast-paced environment to be able to hit the ground running in this busy role.  This organisation will always be dynamic rather than static, as such you have learnt how to adapt, where to challenge and where to follow protocol.

You will have a proven track record in prioritising and managing workload to an exacting standard.  You will have excellent organisation, time management, communication, attention to detail and interpersonal skills.  If you have a sense of humour and the ability to stay calm under pressure you will be in good company.

Your positivity and enthusiasm, as well as your ability to decipher what is requested, even when sometimes the instruction can be ambiguous, is paramount. 

If you are already comfortable working with financial information and have experience of Adobe InDesign then you have the advantage.   You will have a great working knowledge of Microsoft packages, (Word, Excel, Outlook, Office 365) and hopefully some experience in creating high level and aesthetically interesting presentations with the ability to represent who we are and what we represent.
